Topic: Formal Letter Writing – Application, Excuse, Request, and Thanks Letters

Specific Objectives:
By the end of this lesson, learners should be able to:

  1. Construct various types of formal letters (application, excuse, request, thanks).
  2. Identify tone and purpose in each type.
  3. Use polite and professional language appropriately.

 

A – Anticipation (Engage Learners):

Starter Questions:

  • Have you ever had to request something from someone older or more senior?
  • What kind of words or tone did you use?

Activity:

  • Display four different letter headings (Job Application, Excuse for Absence, Request for Sponsorship, Letter of Thanks).
  • In small groups, students brainstorm possible purposes and appropriate tones for each.

 

B – Building Knowledge (Core Content):

  1. Letter of Application
  • Purpose: To seek employment or a role.
  • Sample structure:
    • Heading (Address and Date)
    • Salutation: Dear Sir/Madam
    • Body: Introduction, Purpose, Qualifications, Conclusion
    • Closing: Yours faithfully
  1. Letter of Excuse
  • Purpose: To explain absence or behavior.
  • Emphasize polite tone and sincerity.
  1. Letter of Request
  • Purpose: To ask formally for something (permission, materials, sponsorship).
  • Must be direct, clear, and polite.
  1. Letter of Thanks
  • Purpose: To appreciate support, gifts, or effort.
  • Warm but still formal.

Example Sentences:

  • "I am writing to express my interest in..."
  • "I regret my absence from school on..."
  • "May I kindly request your permission to..."
  • "I sincerely appreciate your support in..."

Guided Writing:

  • As a class, write a sample Letter of Application on the board together.

 

C – Consolidation (Application and Reflection):

Class Activity:

  • Each student picks one of the four formal letter types.
  • Using the correct format, they write the full letter (minimum 200 words).

Assignment:

  • Compose two formal letters:
  1. A letter requesting permission to attend a national youth conference.
  2. A letter of appreciation to a local organization that donated books.
  • Ensure proper format and tone.

Teacher’s Reflection:

  • Could students adapt tone and purpose to different letter types?
  • Were they able to complete a full structured letter independently?
  • Who may need more practice with transitions and formal expressions?
